Collection Documentation

We document the work we perform inside the patient-responsibility workflow you direct. You retain responsibility for your policies, account balances, billing and coding, financial-assistance and waiver decisions, record retention, payer requirements, legal compliance, and responses to audits or investigations. Our records do not certify compliance or guarantee the sufficiency or outcome of any payer, audit, or regulatory review.

Activity Reporting

Reporting that tells you what was done and what came back, on a cadence agreed in the services agreement. Reports reflect the information available to us and support your review; they are not a financial statement or a compliance certification.

  • Contacts made, by channel and outcome
  • Payment arrangements reached and payments recorded
  • Accounts that need a decision from you: hardship, dispute, or hold
  • Open balances and next scheduled activity

FAQ

Questions we hear first.

Have one that is not here? Ask it on a consultation call.

Request a consultation
What types of facilities do you work with?

Behavioral health providers: residential and outpatient substance use treatment, detox, PHP and IOP programs, and mental health practices. We understand the sensitivities involved in billing and patient financial conversations in this setting, and we do not take on other specialties.

How do you communicate with patients?

In your facility's name, through the channels you have approved, with scripts and policies you have reviewed. We explain benefits, explanation-of-benefits (EOB) forms, balances, and payment options plainly. Patients are treated with respect throughout; that is both the right thing to do and the thing most likely to keep them connected to your facility.

Do you provide legal or compliance advice?

No. We provide administrative and patient-financial support under the applicable signed agreement. Laws, payer rules, and contract terms concerning patient cost-sharing, discounts, waivers, billing, and collections are fact-specific. Each provider is responsible for obtaining advice from qualified legal and compliance professionals, setting lawful policies, supplying accurate account information, and making final decisions. We do not certify compliance or guarantee an audit, payer, collection, or regulatory outcome.

How quickly can we get started?

It starts with a consultation: a working call about your open balances, your policies, and how you want patients spoken to. Nothing is signed on that call. If we are a fit, the next step is a services agreement and a business associate agreement (BAA) that set out what we may do and say. Once both are signed and you have sent the accounts and the policies we are to follow, follow-up begins. How long that takes depends mostly on how quickly access and account data can be shared; the start date is set in the agreement.

Will this affect our relationship with patients?

Our communication practices are designed to lower friction in authorized patient financial discussions, and every call is made in your name rather than a collection agency's. That said, how a patient reacts, how satisfied they are, and how the relationship with your facility develops depend on circumstances outside our control and are not guaranteed.
